Day-of Coordination

Far more than the “day of.” From the moment you book, we work behind the scenes for couples across Grand Rapids, all of Michigan, and beyond — so you can be fully present on the biggest day of your life.

What follows is the actual scope from our contract. Couples tell us in every consultation how much they appreciate seeing the full detail up front.

From date of contract
  • Unlimited communication from the date of signed contract
  • A customized Google Sheet of wedding-planning tasks — your timeline and checklist for the planning stages
Prior to the wedding
  • Timeline-creation meeting with the couple, about two months before the wedding
  • Assistance creating your floor plan, on request
  • Timeline review meeting to make changes and updates, with the final timeline set no later than 72 hours before your wedding-day start
  • Final Details meeting to finalize the timeline and wedding-day decisions
  • We contact every vendor on the contract to coordinate arrival, delivery, and setup times, and walk them through the day-of timeline
Rehearsal
  • Directed rehearsal of the ceremony, processional, and recessional with the full wedding party
  • Timing and cues configured for the ceremony
  • Printed day-of timeline for the wedding party, on request
  • Work with the venue to confirm the technology works as needed
Day of ceremony
  • Assist the bride and bridal party with getting ready
  • Greet vendors and manage them per your instructions
  • Manage wedding-party timing and order of getting ready
  • Set up for both ceremony and reception
  • Bridal Emergency Kit on hand — aspirin, energy bars, mints, sewing kit, and more
  • Distribute final payments and gratuities to vendors, on request
  • Available in person and by phone throughout the wedding for vendor questions
  • Troubleshoot and solve emergencies that come up during the day
  • Décor set up and arranged exactly as agreed
  • Distribute ordered flowers — flower-girl petals, boutonnieres, and the rest
  • Greet ushers and assistants and walk them through their duties
  • Everything the ceremony needs, placed — programs, readings, vows, rings
  • Review communications and cues with the officiant and music director
  • Arrange the wedding party in order and run the processional
  • Assist with signing the marriage license
  • Supervise reception setup — cake stand, gift table, and more
  • Reception décor and candles set up and ready
  • Coordinate with the DJ on the schedule of entertainment and announcements
  • Locate the wedding party and line them up for introductions
  • Cue the DJ or emcee for the bridal-party entrance
  • Cue every vendor and person involved in the big moments — parent dances, cake cutting, toasts
  • Cue wedding-party members when they're announced for toasts

  • Assistance during, or attendance at, your vendor meetings
  • In-person or virtual visits to the ceremony and reception sites before the wedding, on request
  • Rehearsal-dinner planning, including restaurant reservations
  • Pickup of decorations, rentals, and wedding items as agreed
  • Pickup of ordered breakfast, food, and drinks for the bridal party
  • Food and snack delivery, setup, and cleanup managed for the bridal party all day

How much does a day-of wedding coordinator cost in Grand Rapids?
Our Day of Coordination packages start at $1,500 for the Signature package and $2,100 for the All-Inclusive package. Unlike many coordinators, our packages don't have set hours — they're based on what your needs are.
When does "day-of" coordination actually start?
Well before the wedding day. Starting at booking, our team works closely with you on your timeline and vendor details, and you'll spend a minimum of three hours with us before the wedding itself — most couples spend more.
Who will we be working with?
April is the owner and lead coordinator, and she's who you'll meet with throughout planning. April personally leads most weddings, supported by an experienced team — many of whom are former brides of hers. You'll always be introduced to your lead coordinator before the day.
What areas do you serve?
We're based in Hudsonville, near Grand Rapids, and coordinate weddings across all of Michigan — a lot of our couples come from the east side of the state. We also take weddings in surrounding states and destination events anywhere (travel billed depending on distance). One couple loved their Michigan wedding enough to fly us to North Carolina for their second celebration.
